Next Steps & General Timeline Info

Once you submit your Statement of Interest (SOI), the review process will begin. All faculty who submit an SOI will receive a decision letter from the Faculty-Directed Team by mid-March.

If your SOI is approved, the next step is program development. Be prepared to begin working with the Faculty-Directed Team on development, provider selection, and, by the next fall, student recruitment. The timelines look long, but things get busy, and there are a lot of moving pieces.

Confirm Your Participation

After receiving your approval letter:

  • Confirm your approval and willingness to participate by replying to the Faculty-Directed Team as soon as possible.
  • Review your schedule to ensure you have the time and capacity to participate in program development and recruitment activities throughout the rest of the current spring term, parts of summer, and the next academic year.
  • Confirm that you will be available to lead the program during the proposed travel term. Check with your department to make sure the program dates do not conflict with teaching, research, or other commitments. The same goes for your personal activities and commitments. 

Program Development

During the development phase, you will work with the Faculty-Directed Coordinator to turn your SOI into a fully developed program.

Kickoff Meeting

  • Attend a mandatory online Kickoff Meeting covering the Faculty-Directed process, expectations, policies, and next steps.

Program Development Meeting

  • Meet with your Faculty-Directed Coordinator to discuss your program, goals, courses, itinerary, and logistics.
  • Work with your coordinator to develop the materials needed to request quotes from program providers, including a sample itinerary and critical program logistics.

Provider Review

  • Review and provide feedback on provider quotes and program details as needed.
  • During the summer, you may receive occasional requests from your Faculty-Directed Coordinator to review or respond to provider information. Your coordinator will keep the development process moving but may need your input during the summer.

Student Recruitment

EA’s goal is to have your provider selected, program budget completed, and application open for students by the Education Abroad Fair in September (2nd week of September). 

  • This is a prime recruitment window when students are most excited and interested in applying for programs! 

Recruitment is a critical responsibility, and faculty leaders play the lead role.

Be prepared to:

  • Talk with students about your program and why they should consider participating.
  • Promote your program in your classes and through your professional networks.
  • Ask colleagues to help spread the word.
  • Participate in Education Abroad recruitment events and other opportunities to connect with students.
  • Continue promoting your program throughout the application period.

Education Abroad will provide some marketing support and resources, but you are the person students will connect with most directly. Your enthusiasm and involvement will make a significant difference in recruitment.

Pre-Departure Requirements (closer to departure)

If your program successfully recruits enough students, program leaders must complete required training and preparation activities before going abroad.

Student Pre-Departure Orientation

  • Program leaders must host at least one pre-departure session for students - we recommend hosting more than one. EA will provide support documents to help you plan this and other orientations. 

Global Risk & Financial Training

  • All program leaders must complete required Global Risk and Financial Training before departure. This will cover UK’s insurance, emergency protocols, duty of care expectations, and financial items that will help you while abroad and after you return.
  • Training is hosted by Education Abroad and International Health, Safety & Security (IHSS).
  • Traveler registration in UK’s system will also need to be completed for your time abroad and any personal time before or after your program. Your Faculty-Directed Coordinator will help you get that set up.

Title IX & Clery Training

  • Annual Title IX and Clery training requirements must be completed before departure.
  • You will be notified if any required training is outstanding.

Return from Abroad

Once you are back you will have 60 days to complete your Travel Report for reimbursement of cell phone coverage, per diems, and other compensation items. 

  • Please note your Travel Report will be slightly different from a normal Travel Report.
  • EA will help guide you through the process as your expenses come from the program budget and not your department.

You are never doing this alone!

Your Faculty-Directed Coordinator and the broader Education Abroad team will support you throughout the development, recruitment, and pre-departure process.

Strong communication is essential. Please reach out whenever you have questions, concerns, or need help navigating the process. There are policies and procedures in place to safeguard you, the students, and the University of Kentucky, and these are expected to be followed. Failure to do so could impact your ability to run programs in future years.
