These policies apply to programs offered and administered by University of Kentucky Education Abroad & Exchanges (UK EA).

You, the student, are responsible for knowing and understanding the withdrawal, cancellation and refund policies of the program you wish to take part in BEFORE applying. By completing an application to study abroad, you confirm to having read, understood, and agreed to the following terms regarding UK EA’s education abroad programs and that you will also seek out and follow any additional program policies.

Withdrawing from your Program

At any time, you (not parents/guardians or other parties) may withdraw your UK EA Application. Depending on the type of program and timing, you may also be liable for all costs associated with that program. Please contact your UK EA Advisor before withdrawing for more information. 

In addition to your UK EA withdrawal, you may also be responsible for withdrawing from your specific program. You are accountable for communicating with your program about your withdrawal, the responsibility for any related costs, and adhering to their withdrawal policies. 

How to Withdraw

To check the status of your application, visit the EA Application Portal and click on your existing application. The status is posted in the top left corner. 

Note: Only withdrawals via the below method(s) are considered. Verbal withdrawal requests, withdrawals sent to your academic advisor or program faculty, or any withdrawal requests made through other methods are not accepted and may cause additional penalties to accrue.  

Please be sure to carefully read the Financial Obligations section for additional information regarding your program type. 

Application in Pending, Approved by EA, or No-Status

Log in to your UK EA application (ea.uky.edu) and select the 'Withdraw' button next to the program name on your Applicant Home Page.

To officially withdraw, you must complete the Withdrawal Form.

 

Special Note: Administrative Withdrawal

Should you not be in good standing and have an academic, conduct or financial hold on your student account or jeopardize the facilitation of the program or safety of its participants due to your continued conduct/behavior before or during a program, UK EA Leadership and the program’s coordinators (i.e. Faculty-Directed program directors or host institution officials) may administratively withdraw you from participation. If withdrawn, you are officially no longer part of the program and are subject to financial obligations.

For Faculty-Directed Embedded programs, students who are academically removed from the academic course are also considered administratively withdrawn. 

Administrative withdrawals will not be eligible for any refund appeal. 

Financial Obligations for Withdrawing from your Program

Faculty-Directed Programs

For Faculty-Directed programs, most costs have been paid by UK EA in advance to secure program logistics, therefore refunds may not be available.  

Once you have been accepted on the program AND the confirmation date has passed, you are financially responsible for all the program costs listed on the cost page. The date/time of your withdrawal request will determine if any refund is provided by UK EA.

Any of the costs that can be returned to UK EA and not jeopardize the program’s viability will be removed from your final program balance due or refunded to your UK student account (if the program cost has been posted to your UK student account). Please note that not all funds paid can be recovered. UK EA will advocate on your behalf to recover what is possible depending on the timing of your withdrawal.

Please note that the application fee, and first payment once billed are non-refundable.

Embedded Faculty-Directed Programs

IN ADDITION TO the financial obligations listed in the Faculty-Directed Programs section listed above, tuition for the on-campus course will follow the UK Course Deadlines and Refund Schedules.  

For Embedded Faculty-Directed programs dropping the on-campus course does not constitute an official withdrawal from the program. If you wish to withdraw from the program, you must request an official withdrawal from UK EA and drop the academic course.

Partner, Direct, Exchange, Etc.

If you are participating in any program other than a Faculty-Directed program, you will need to connect with your specific program to learn more about their withdrawal process and refund policy. Your UK EA application fee once billed, is non-refundable. EAP 599 tuition is refunded based on UK Course Deadlines and Refund Schedules.   

Program Cancellation

UK EA may cancel a program for many reasons. Your EA Advisor will communicate this information to you as soon as the need to cancel a program arises and help you find an alternative program, if available. 

Faculty Limitations or Scheduling Conflicts

Unforeseen faculty limitations or schedule conflicts that arise on faculty-directed programs may lead to program cancellation. You will be informed via email and advised on alternatives. 

Low Enrollment

Each Faculty-Directed program requires a minimum number of students to participate. Programs that do not recruit enough participants will be canceled. You will be informed via email and advised on alternatives. 

Waitlist Students- Program Full

If you applied for a program and placed on a waitlist, your application may be cancelled if a spot is not available. Your UK EA advisor will communicate options with you throughout this process.  

Force Majeure

Force Majure is a fancy way of saying a major force outside your control and unforeseen. UK EA defines these to include, but are not limited to political unrest, natural disasters, pandemics, or elevated travel warnings provided by the U.S. State’s Department suddenly making it unsafe to travel in that location. This decision will be made in conjunction with UK EA Leadership, on-site partners, program directors, and other UK health and safety administrators. 

Financial Obligations for Cancelled Programs

In case of cancellation based on a UK EA cancellation and you are unable to find a reasonable replacement for the original program, you will be refunded the UK EA application fee. 

If your program with a partner provider (ISA, AIFS, etc.) has been cancelled, please contact them to learn more about their cancellation and refund policy.
